How to manage cleaning supply requests
A useful request needs three things: which material, where it is needed and what happens next. Set a simple handoff between the person doing the cleaning and the person responsible for buying supplies.
Explore the demonstration1. Identify each supply and location
Use a specific name and unit that the purchaser understands, such as paper towels, pack, ground-floor closet. Keep separate records for different locations. Include practical instructions when a particular refill or size is required.
2. Agree on when to report
Define running low in terms your team can recognize, such as reaching the last unopened pack. Use out when the item is unavailable. Choose a local rule for each supply; a QR report is a human observation, not an automatic stock count.
3. Give purchasing a named owner
Assign someone to review the queue at an interval that fits your operation. They check the location and note, resolve uncertainty with the team and place the purchase using the company's usual process. A shared queue is useful only when someone is responsible for acting on it.
4. Keep repeated reports together
Before making a purchase, check whether a request is already active or purchased. Restopli groups reports for the same labeled item, keeping purchased requests open until receipt. This helps the team see that the need has already been acknowledged.
5. Close the cycle on delivery
Check that the requested material reached the correct location before marking it received. If a purchase has not arrived, leave the request purchased and follow up through your normal supplier process. A later shortage can then begin a new cycle.
A short routine to repeat
Use the printable checklist linked below if you are starting on paper. The same handoff can later be followed with QR labels and a shared Restopli queue.
- On site: report the correct supply and location; add a note when context matters.
- At review time: check urgency, group needs and make the purchases.
- At delivery: verify the destination, confirm receipt and review any remaining needs.
